1. Recording the Call

The first step is capturing the conversation. I use two primary tools for this:

For most of my sales calls, I use Google Meet. It's reliable, easy to use, and integrates well with my other tools. Key features include:

  • Transcription: Google Meet automatically transcribes the conversation in with Gemini if you enable it (see screenshot above)
  • Screen Sharing: Essential for presenting proposals or demonstrating my work.

After a call, I can easily download the transcript from Google Meet, that they send to my email. Including the full video, a transcript, and a summary.

I use Cal.com as my primary scheduling tool. It's a fantastic open-source alternative to Calendly and integrates seamlessly with Google Meet. Here's why I love it:

  • Google Meet Integration: When a client books a call, Cal.com automatically creates a Google Meet link and adds it to the calendar event.

2. AI sales call summary with Google AI Studio (Gemini)

Once I have the transcript, whether from Google Meet or Descript, I feed it into Google AI Studio. This powerful tool, powered by Google's latest AI model Gemini, is exceptional at generating concise summaries.

Here's how I use it:

  1. Copy and paste the transcript into Google AI Studio.
  2. Prompt: "Please summarize this sales call transcript, highlighting key discussion points, client needs, and agreed-upon next steps."
  3. Review and refine the AI-generated summary.

Google AI Studio usually produces a high-quality summary that captures the essence of the conversation. I may make minor edits for clarity, but the heavy lifting is done by AI.

3. Using AI to write sales offers and emails

After getting a good summary of the call, I use AI to help create follow-up materials like proposals and emails. Here's my process:

I feed the call summary into Google AI Studio with a prompt like:

"Based on this sales call summary, write a simple offer using what I said and what the client wants. Keep it concise, no adjectives, offer pricing, set clear goals and targets."

The AI helps structure the proposal with:

  • Specific pricing I mentioned to this client

I often used to forget details from the call, and I had to write a proposal from scratch. Now I just feed the AI the call summary and it creates a proposal in seconds with EXACTLY what I said.

I then review and personalize the AI-generated email before sending it to ensure it maintains the right tone and includes any specific details or nuances from our conversation.

4. Self-Analysis and Improvement

This is perhaps the most valuable part of the process. I use the transcript and summary to analyze my own performance and identify areas for improvement.
